Sometimes the unit a renter booked needs to change — it broke down, you want to upgrade them, or you're moving them to a different yard. You can swap the physical unit on a booking without cancelling and rebooking.
Open the booking's detail (Booking Hub) and use Change Trailer.
How a swap works
- Pick a replacement. Only units that are available for this booking's exact dates are offered.
- Availability is re-checked. The system re-validates the new unit against the booking window — including its turnaround buffer and any out-of-service or closed-day blocks — so you can't double-book.
- The pickup yard re-snapshots. The booking's pickup (and matching drop-off) location updates to the new unit's yard.
- The renter is notified to re-sign.
Heads up: A new rental agreement is generated on every swap, because the contract is tied to the specific unit. The old signed agreement is cancelled and the renter gets a fresh link to sign. Plan for the re-signature before pickup.
Charging an upgrade difference
If the replacement costs more per day than the original, you choose what to do:
- Keep current price — no extra charge.
- Charge the difference — Patriot Hauls suggests an amount (the daily difference × the rental days), which you can edit. This goes out as a separate invoice on your connected Stripe account — it isn't folded into the original total.
A downgrade to a cheaper unit keeps the price the same; no automatic refund is issued.
When you're ready, click Swap & notify renter.
Reassigning a unit (no swap)
If you just need to point a booking at a different physical unit of the same type — for example, assigning a specific VIN from your pool — use Reassign on the calendar or in the booking's assigned-unit panel. That changes which unit is tracked without re-running the full swap flow.
